Hotel lock system software shows the error “Could not get status of the encoder” when making a new key card

Our hotel has a hotel door lock system, but today we got an error from the Hotel lock system software. Can you please help me understand what the error “Could not get status of the encoder” means? That is the error I get when making a new key card. Thank you.

The error message “Could not get status of the encoder” usually indicates a communication problem between the hotel lock system software and the card encoder device. The encoder is the device that physically writes the access code onto the hotel key cards.

Here are a few things you could try to resolve this issue:

  1. Check the Encoder’s Connection: Ensure the encoder is properly connected to your computer or system to program the key cards. Depending on your specific system, the connection could be a USB, serial port, or network connection. Make sure the cables are properly plugged in and not damaged.
  2. Restart the System: Sometimes, simply restarting the computer or the system you’re using to program the key cards can fix the problem. This can clear out any temporary software glitches that may be causing the problem.
  3. Update the Software: Check if there’s an update available for your hotel lock system software. An outdated version might have bugs that can cause communication problems with the encoder.
  4. Check the Encoder’s Power Supply: If your hotel key encoder has its power supply, ensure it’s properly plugged in and the device gets power.
  5. Reinstall the Software or Drivers: If none of the above solutions work, try reinstalling your encoder’s software or drivers. Depending on your hotel lock system, this process will vary, so you might need to contact the software vendor or manufacturer for specific instructions.
  6. Check the Software Registration: Confirm that the software registration code is valid and the software is properly licensed. An invalid or expired registration code could prevent the software from functioning properly. You might need to reenter the code or contact the software provider for a new one.

If you’re still experiencing problems after trying these steps, contacting the support service of your hotel lock system’s manufacturer or vendor would be best. They can provide more in-depth troubleshooting and possibly arrange for a technician to visit if necessary.
